Privacy Policy
House of Reformer respects your privacy. This policy explains how we collect, use, share and protect personal information when you use our studios, website and House of Reformer mobile app.
1. Who is responsible for your information
House of Reformer is the controller of the personal information described in this policy. You can contact us at contact@houseofreformer.com or at 33 Lesbourne Road, Reigate, RH2 7JS.
2. Information we collect
Depending on how you use House, we may collect:
- Account, identity and contact information, such as your first and last name, date of birth, gender, postal address, email address, telephone number and account identifiers.
- Booking and membership information, including classes, credits, Class Packs, memberships, 1:1 sessions, events, retreats, cancellations and attendance history.
- Payment and transaction information, such as order references, payment status, amounts and billing history. Card details are handled by our payment processor and are not stored in the House mobile app.
- Health, safety and waiver information that you choose or are required to provide for safe participation, including declarations, signed forms and emergency-contact details where applicable.
- Profile preferences, such as your favourite instructor, selected studio, marketing preferences and other choices you save in your account.
- Support and communications, including messages you send to us and records of service emails we send to you.
- Technical information needed to operate and secure the app and service, such as app session tokens, request/security logs, device/platform information and diagnostic information if a technical error occurs.
- Notification information, such as an app push token, device platform and your notification preferences, when you choose to enable mobile notifications. This is used to send booking reminders and important service updates.
The current House native app does not use advertising identifiers for cross-app tracking and does not sell personal information.
3. How we use your information
We use personal information to:
- create and secure your House account;
- show live timetables and manage bookings, waitlists, credits, memberships and cancellations;
- process payments for in-person studio services, events, retreats and physical merchandise;
- operate 1:1 bookings, waivers, health-and-safety processes and customer support;
- send essential service messages, booking confirmations and schedule changes;
- send optional mobile push notifications such as upcoming-booking reminders, cancellations, waitlist updates and other service changes when notifications are enabled;
- send marketing only where you have opted in or where another lawful basis applies, with an unsubscribe option;
- prevent fraud, misuse and security incidents and maintain reliable app sessions;
- comply with legal, tax, accounting and regulatory obligations.
Our lawful bases may include performance of a contract, compliance with legal obligations, our legitimate interests in operating and protecting House, and consent where consent is required.
4. Payments and service providers
We use trusted service providers where necessary to deliver House services. These can include website/WordPress hosting providers, payment processors such as Revolut, email-delivery providers, Expo for delivery of enabled mobile push notifications, and Apple or Google for app distribution and platform services. These providers may process information on our behalf under their own security and privacy obligations.
We do not sell your personal information. We do not share it with advertisers for cross-app behavioural advertising.
5. International processing
Some technology providers may process information outside the United Kingdom. Where required, we use appropriate safeguards for international transfers, such as recognised contractual protections or an applicable adequacy mechanism.
6. How long we keep information
We keep personal information only for as long as it is needed for the purposes described above or to meet legal obligations. Account and booking information is normally retained while your account is active and for an appropriate period afterwards. Financial, tax and transaction records may need to be retained for longer where UK law or accounting obligations require it.
When you request account deletion, we delete or anonymise information that we no longer need. Limited records may be retained where necessary for legal, accounting, fraud-prevention, dispute-resolution or regulatory purposes.
7. Account deletion in the mobile app
An app-initiated deletion request immediately revokes your mobile-app sessions. We aim to complete the permanent deletion process within 7 days and will confirm when it is finished. If you have an active externally billed studio membership, we may need to safely cancel that billing arrangement as part of the deletion process. A deletion request does not automatically refund purchases already made.
8. Your rights
Depending on the circumstances, UK data-protection law gives you rights to request access to your personal information, correction, deletion, restriction, objection, portability and withdrawal of consent. You may also object to or unsubscribe from direct marketing at any time.
If you are unhappy with how we handle your information, you can contact us first. You also have the right to complain to the UK Information Commissioner's Office (ICO).
9. Security
We use reasonable technical and organisational measures to protect personal information, including authenticated app sessions, restricted staff access, secure hosting and payment processing through specialist providers. No internet service can guarantee absolute security, so we also monitor and improve our safeguards over time.
10. Changes to this policy
We may update this policy when our services, technology or legal obligations change. The latest version will be published at this URL with an updated date.
